The VIGS Institute (Vienna Institute for Global Studies) Vienna is looking for:
Your responsibilities
Delivers and assists in planning international events, program activities, strengthens and builds international and regional partnerships, ensures adherence to policy, and assists with program administration to promote stable and productive relationships between the VIGS institute and its partner network. Strives to expand and ensure access to programs, facilities, and educational services to diverse audiences. Ensures smooth and continuous relation with the Institute´s partners, clients, guests and the overall network. Assists in tracking and managing the program budget and dealing with the emerging contracts and legal documents of the Institute. Maintains and expands the contact database.

Core Tasks:
  • Identify, build, and maintain external partnerships
  • Draft program content for VIGS Institute´s management
  • Supervise the necessary contracts and procurements
  • Develop and manage international contact database
  • Develop and evaluate yearly event plans and programs and provide recommendations for improvement
  • Support the implementation of programs, policies, and procedures
  • Schedule and secure resources, and communicate logistics
  • Perform other duties as assigned.
Other Tasks:
  • Provide guidance to and support VIGS Institute management team in developing international and local, Austrian collaborations and programs
  • Negotiate/facilitate effective international partnership agreements to support academic and research initiatives in accordance with VIGS Institute´s policies and procedures. The development of these partnerships involves coordination with VIGS management team
  • Support the management with implementing collaborative projects and programs outlined in partnership agreements, and representing the interest of the VIGS Institute to international partners as needed
  • Serve as primary contact for several partners interested in engaging with VIGS Institute
  • Develop itineraries and manage logistics for inbound and outbound visits and delegations, with attention to protocol and appropriate intercultural practices
  • Serve as contact for inbound international visitors, interacting with and accompanying visitors before, during, and after their time at VIGS Institute
  • Prepare briefing notes for the leadership of VIGS to ensure that visitors have an exceptional experience at VIGS Institute while the Institute´s goals and interests are maintained as primary.
  • Connect overseas partners and/or local organizations to relevant operational units at VIGS and Modul University and vice-versa
  • Create and distribute briefing documents (country and/or institutional profiles)
  • Support the Leadership of VIGS by collecting relevant information, analyze trends, synthesizing information, create reports, leveraging this information to support partnership decision-making
  • Evaluate existing partnerships, at a minimum, annually, and recommend changes, expansions or discontinuation of agreements as appropriate
  • Keep accurate records and document interactions according to the standard internal procedures.
Your profile
  • Proven experience in the field of International Relations, Diplomacy, Business or Marketing
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Master´s Degree in the field of international relations, law, management or relevant field
  • Excellent verbal and written communication skills in English (at C-level) AND German (at C-level) are necessary
  • Proven ability to work independently, prioritize tasks and multitask
  • Proactive, agile and engaged attitude
  • Demonstrated ability to review and/or draft clear legal and/or policy documents
  • Interpersonal and intercultural skills
  • Relational database skills.
  • Valid work permit in Austria.
 
Experience and Skills
Required:
  • Experience in a position involving global affairs or international engagement
  • Experience in analyzing and compiling information from various sources to present complex information to facilitate decision-making
  • Experience in cultural protocols and intercultural differences
  • Experience in or familiarity with higher education institutions
  • Strong interpersonal and intercultural communication skills to effectively work with acumen and diplomacy in handling sensitive or difficult situations, either independently or within a team environment
Preferred:
  • Experience in international contract negotiation/management and understanding of business principles
  • Project management experience to manage workflow processes and project delivery methods
  • Grant/contract/agreement writing experience
  • Experience negotiating with individuals from other countries or linguistic backgrounds
  • Experience preparing for and working with international visitors or delegations and visits abroad
  • Demonstrated knowledge of cultural competencies, etiquette, and protocol
